Adding a template with Merge Fields

In this guide, I will show you how to create a pack in Rezi Post. We will be using an offer accepted situation situation in this example.

 

First open Rezi Post from the icon next to reporting

 


 

Once this is open you can see a list of ‘Situations’ that Rezi can go through.

 

 

 

Scroll down to Offer Accepted

 

To add a new pack, click on the 4 little lines next to offer accepted

 


 

Once clicked, select the ‘New Pack’ and call it something like ‘Offer Accepted Email’.

 

Refresh the page and scroll back down to offer accepted.

 

Once there, click on the word offer accepted to open up your pack.

 


 

Once clicked it should look something like this:



 

Click the 4 little lines here to add a ‘New envelope’. This is going to be addressed to the Vendor. So, call it ‘Offer Accepted Vendor’. It will then look like the below image.



 

Once you have it looking like this. Click the 4 lines in the blue box to ‘Create new template’

 

Once you have clicked this it will open up Microsoft Word with a blank page for you.

 

Once on here you can either type your email content from scratch or copy and paste one you use already.

 

In order to add your merge fields into this email use the Rezi post plug in on the right hand side of the screen.

 

For example:

 

If wish to start the email of with Dear Mr Jones,

 

Then I would type Dear and insert the merge field for vendor name. This will bring in the vendors name every time you generate an offer accepted pack in Rezi.


 


Once I have confirmed the date I need to pull through like first name or surname I can click insert.

 

It will then look like this

 

Dear «OWNE_groupname»

 

So every time I create this email it will now pull through the vendor name in the email.

 

You can add as many merge fields as you like in any email, letter or SMS.

 

The best way to think about it when adding merge fields in is, if I’m addressing the vendor then I use the vendor section, same with property and the actual appointment itself like time and date etc.

 

Once you are happy with the content you can click on the save button the Rezi post plug in and save it as an email. You could name it something like ‘Offer Accepted Vendor Email’ for example. You can also click on the type and select email. Then click save.

 

Once this is done, your pack will be in Rezi Post.

 

To add more templates just repeat the above steps. If you want to add attachments then select PDF or Word document instead.
