Workflows send emails, SMS messages, letters and documents automatically when things happen in Rezi: a viewing is booked, an offer is recorded, a valuation is coming up. This article explains what workflows can do, how to set one up, and how the Rezi Post pack that supplies the message content fits in.

What a communication workflow is

A workflow automation is a rule set up in Admin (open Admin from the agency selector, then choose Workflows, labelled "Communication Workflow & Automation"). Each rule says: when this event happens, for this branch and this brand, send this correspondence. The correspondence itself is a Dezrez Post Pack, built separately in Rezi Post; the workflow just decides when it goes out and the pack decides what is sent and to whom. One automation applies to one branch and brand, so create one per branch/brand combination that needs it.

Which appointment reminders can be sent automatically by SMS or email

Rezi can automatically send reminder messages (SMS, email or both, depending on the pack's templates) ahead of these appointment types: Viewing Reminder · Valuation Reminder · Routine Inspection Reminder · Follow Up Inspection Reminder · Check Out Reminder. Each reminder workflow has a Send Hours in Advance setting controlling how long before the appointment the message goes out (for example 2 hours before). Reminders work no matter how far ahead the appointment was booked; the message is sent at the configured time before it starts. The recipient (vendor, landlord, applicant, tenant) is controlled by the envelopes in the post pack attached to the workflow.

Example: send vendors an SMS reminder before a valuation appointment

Yes, this is possible. It works exactly like the viewing reminder SMS, but uses the Valuation trigger. To text the vendor 2 hours before their valuation:

  1. In Admin, open Workflows and click Add Workflow Automation.
  2. Set Trigger = Valuation, Workflow Name = Valuation Reminder.
  3. Choose a post pack that contains an SMS template targeting the Owner/Vendor or Landlord Role (see the pack section below if one doesn't exist yet), plus Branch and Brand.
  4. Set Send Hours in Advance to 2, switch it Active, and Save.

Example: send applicants an SMS reminder before a viewing

Same pattern with the Viewing trigger: Add Workflow Automation, Trigger = Viewing, Workflow Name = Viewing Reminder, choose a pack with an SMS template in an envelope targeting Applicant Role, and set Send Hours in Advance to how long before the viewing the text should arrive.

Setting up a workflow: Add Workflow Automation fields

In Admin Workflows, click Add Workflow Automation. Standard Settings:

Dezrez Post Pack The correspondence to send. Only live packs from matching categories with a Workflow Index set (and containing templates) appear here.
Branch Which branch this automation applies to.
Brand The brand whose headers, footers and styling the correspondence uses.
Active Enable or disable the automation.

Click Save. The automation appears in the Workflows list with its Status (ENABLED/DISABLED); use the pencil icon to edit, or the bulk Disable/Enable option.

Workflow Additional Settings by trigger

These change depending on the Trigger and Workflow Name selected:

  • Property Market Type (Viewing, Offer and Property Status workflows): Sales workflow, Lettings workflow, or both.
  • Send Hours in Advance (Reminder workflows): how far ahead of the appointment the reminder goes out.
  • Send Days in Advance (Certificate Expiring Notification): days before expiry.
  • Send Days After Due Date, Invoice sub type, Include Invoice Reversals (Invoice Overdue).
  • Tenancy Status (Tenancy Agreement Changed): Pre-Tenancy · Active · Ending · Renewing.
  • Person Type and Send Hours After (Person Created): Vendor · Landlord · Lettings Applicant · Sales Applicant, plus a delay before sending.

Communication Logs: checking what a workflow sent

The Communication Logs tab in Admin Workflows shows what the workflows have sent. Individual sends also appear on the contact's Activities timeline in Rezi (Email Sent, Sms Sent, bounce events), and generated documents are stored under the contact's Documents tab.

The post pack: what a workflow sends

The pack is the content side, managed in Rezi Post (rezipost.dezrez.com, or the Dezrez Post icon in Rezi's top bar). A pack is a group of envelopes, one per recipient; each envelope contains templates, the actual messages. For a pack to be selectable in a workflow it must: sit in a category matching the trigger (e.g. Confirmation Of Valuation packs appear for Valuation workflows), be Live, have a Workflow Index set (a slot number 1 to 40, set in the pack's Properties; a cog icon shows when linked), and contain at least one envelope with a template.

Creating a pack in Rezi Post

  1. On the Packs page, open the menu next to the matching category and choose New Pack; give it a name and description.
  2. Open the pack's menu, choose Properties, set Make Live to Yes and pick a Workflow Index, then Update.
  3. From the pack's menu choose New Envelope; name it and set the Envelope Target: Owner/Vendor or Landlord Role · Applicant Role · Tenant Role · Primary Company Role · Secondary Company Role · Guarantor Role. The envelope's Properties also offer CC options for copying negotiators, the branch or appointment attendees.
  4. From the envelope's menu add the messages: New Template creates a Word letter template (opens via the Rezi Post Word Add-in), or Add Existing Template attaches an Email, Sms, Pdf or Signable template built in the Templates area.

If the new pack doesn't appear in a list straight away, refresh the page rather than clicking Create again, otherwise you can end up with duplicates.

Message types a workflow can send

A pack can mix channels; icons on the pack card show what it contains (@ email, phone SMS, document letters/PDFs, S Signable).

Quick checklist: setting up an automated communication

  1. In Admin Workflows, click Add Workflow Automation and pick the Trigger and Workflow Name.
  2. If a suitable pack already exists, select it, set Branch, Brand and any Additional Settings, switch it Active, and Save. Done.
  3. If no pack exists: in Rezi Post, create one under the matching category, make it Live with a Workflow Index, add an envelope per recipient and the SMS/email/letter templates, then return to step 1.
  4. Repeat per branch/brand combination, and use Communication Logs to confirm sends.

Terminology

Troubleshooting workflows

  • Pack doesn't appear in the workflow's pack dropdown: check the pack is Live (no red flask icon), has a Workflow Index (cog icon on the pack card), sits in a category matching the trigger, and contains at least one envelope with a template.
  • Nothing is being sent: check the automation's Status is ENABLED and that it exists for the right Branch and Brand. Bookings only trigger confirmations when "Send your appointment confirmations" is left on during the booking or offer flow.
  • Wrong branding on sent items: the Brand on the workflow controls styling; branding itself is configured under the Brand tab in Rezi Post.
