Setting Up a Signable Document

Setting Up a Signable Document

In this guide I will show you how to setup a Signable document via Rezi Post. Signable is a way to get your customers to sign documents online. This helps with the speeding up the process of getting stuff back from customers.

First, you must go to Rezi Post by clicking on the Icon in Rezi

Once in Rezi Post, scroll down to the area where you want to create your document. This could be an instruction letter or an AST. In this example I will be using an instruction letter.

Once on the instruction Pack, click 'New Pack' from the 4 little lines options. You must refresh the page after this.

Once this has been done click on the 'New Envelope' option from the 4 little lines option and call it 'Instruction Email Signable' or something similar.

Once you have done this you can create a new template by clicking the option in the 4 little lines. This will then open up a word document for you to fill in with your instruction contract.

From here you can either write your contract here from scratch or copy and paste your existing contract into the document and fit the merge fields in and around the document.

To add merge fields in, you can use the Rezi Post Plugin on the right hand side of the document. From here you can add different prices and fees in.
Simply use the search bar on the plugin to search for key words like 'Fee's' and 'Price'

Once you have click on the the configure button you can tailor what data is pulled through.

Once you happy with the data that would be pulled through simply click insert, which put the merge field in the document for you. Please make sure your cursor is in the right place for the merge field to be inputted.

Adding Signable Merge Fields In

With the Signable merge fields you have 3 options:

Tick Box: This will allow the user to tick a box to agree to the terms of business, or maybe you'd use the tick box to allow the user to have optional extras.
Text Box: This is a box where the user can type certain types of descriptions in. So if you need them to confirm their email or simply talk more about the lease on the property, use this field.
Signing Box: This is the main merge field, as this allows the user to sign this document electronically and legally. It will provide them a box to sign using their mouse or simply type in their name to agree to your T&C.

To add Signable merge fields in simply click on the person you want to address. In this example it would be the Vendor. So I would click vendor and select the signing box option.

You will have the option to change the way this looks in the document once you have clicked the option.

Once you're happy with this please click the insert button and the merge field is set.

To save this document as a Signable email, you must click on the save button in the Rezi Post section and click save. Once this is open you must click 'Save as Word'.

This is step is very important as it's not a standard email, so please save it as a Word Doc.

Once this is clicked you can call your document something that is relevant.

Once you have saved the this, you can return back to the Rezi Post section and it should look like this.

The next time you generate this pack in Rezi, it will automatically send out the email for the customer to sign.

Extra Information!

If you are doing this for a tenancy agreement. You can include multiple people in the same document. For example you could ask the tenant to sign and then the landlord or the agent to counter sign the contract. You would simply add in the required merge fields in the same document.

To organise the order of who gets it first. Simply go to the pack in Rezi Post and click on the options in the envelope.

Click on the Signable Recipient Order, to change who gets it first.

Once you are happy with this, please click update.
