This guide will take you through the process of redacting clients (applicants, vendors, landlords, tenants etc) from the system. This process can be done from a property hub or from a client group.
Search for the client you wish to redact and click on the View/edit members section of the screen.
This process can NOT be undone, please ensure that the person being removed is the correct individual
Once the pop up has appeared, click on to Archive Contact
You will now be presented with 3 options. In order to completely remove the individual's details from the system completely, select option 3.
You will be warned again that this process is non-reversible. Enter the details into the notes box and then click on Confirm
Depending on your admin access, your screen may appear that nothing has happened. If this screen does appear, click back on to View/edit members and then again on to Archive Contact
You will now see the option on the bottom has changed to Approve.
Click on Approve to confirm the process and remove the client from the system. The screen will change and show that the client has been ERASED and all details removed about the client from the system.
At this point, the client has been removed and can not be brought back.
The details have now been erased and this is how the client card will appear before disappearing
This client has now had their details redacted and will be gone from the system. If they have viewed a property their name will still appear in the list but no contact details other than the name will remain.
There will also be a note on the timeline of this person, stating when they were redacted from the system.
