✅ Recurring Invoices and Fees

You can now set up recurring invoices and fees, making it easier to manage regular payments without manual intervention.

Benefit: Saves time, reduces errors, and ensures consistent cash flow for your agency.

✅ Proof of Address for Tenants

Agents can now upload and attach proof of address documents directly in the system, alternatively tenants can directly upload these documents via the Customer Portal, and they integrate seamlessly with the existing document approval workflow in Property Management.

Benefit: Speeds up tenant onboarding and improves compliance with minimal admin effort.

A new workflow for Property Management users allows you to send automated reminders when certificates or licenses are nearing expiry or have expired.

We’ve also introduced new Rezi POST packs for these reminders. If you need help setting up these packs, please reach out and we can walk you through the process. Suggested defaults include:
  • 30-day notice
  • 60-day notice
  • Expired notice
Benefit: Keeps your agency compliant and reduces the risk of missed renewals, all while saving time through automation.
Certificate Workflow

IBAN & SWIFT/BIC Support

We’ve enhanced the Property Management module to give letting agents greater flexibility when handling international payments:
You can now store IBAN and SWIFT/BIC details directly against a person in PM, making it easier to manage overseas landlords or tenants.

Improved Account Setup

The Add Accounts option now allows entry of IBAN details, ensuring accurate payment information from the start.

    IBAN and SWIFT details will display in batch screens for quick reference and validation.

Validation Rules for Accuracy
  • IBAN: Alphanumeric, 14–35 characters
  • BIC: Up to 14 characters
  • Country Code: 2–3 letters only
  • Account Name: Alphanumeric, 3–50 characters

Important Note:
Yapily integration does not currently support IBAN/SWIFT payments. If you attempt a bulk payment using IBAN, the system will flag a warning so you can take appropriate action.

🧾 Invoice ID Logic Update – Greater Flexibility and Error Prevention

What’s new?
We’ve improved how invoice IDs are handled across the system. Previously, invoice IDs were only auto-generated for invoices payable to the agency or those linked to rent demands. Now, all invoices will default to an auto-generated ID, making the process more consistent and reducing manual effort.

Key benefits for estate agents:
  • ✅ Time-saving: No need to manually assign invoice IDs unless preferred.
  • ✍️ Manual override option: Agents can still switch to manual entry if needed for specific workflows.
  • 🚫 Error prevention: If a duplicate ID is entered, the system will alert the user—helping avoid accounting issues and ensuring data integrity.

Transfer Funds Between Property Memo Accounts

To support more complex landlord payment scenarios—especially where properties have split ownership—we’ve introduced the ability to transfer funds between property memo accounts and unallocated cash accounts.
💡 Why this matters:
  • Track funds by property: You can now manage and move money with greater precision, ensuring each property's financials are clearly accounted for.
  • Simplify landlord payments: Especially useful when landlords own multiple properties with varying ownership structures.
  • Maintain clarity: While transfers are property-specific, the landlord’s overall cash balance remains visible as a running total across all accounts.

📣 Custom Text Merge Fields in Bulk Correspondence

We’ve introduced the ability to use custom text merge fields when sending bulk generate letters, emails and SMS messages to landlords, tenants, and contractors.
💡 What does this mean for letting agents?
Letting teams can now:
  • Send ad-hoc communications to selected groups of contacts.
  • Personalise messages using merge fields for a more professional and tailored experience.
  • Save time by avoiding manual edits across multiple messages.
  • Improve engagement and clarity with targeted, relevant content.

📎 Attach Documents to Communications in Property Management

You can now attach documents when sending communications from within Property Management (PM) -> Tenancy. This means:
  • When generating a Post communication, you can include relevant documents in the pack.
  • Ideal for sending tenancy agreements, notices, or supporting paperwork alongside letters.
Important: You cannot attach documents to communications that use signable documents or SMS texts, to ensure compatibility and compliance.
This update helps streamline communication workflows and ensures tenants and landlords receive all necessary documentation in one go—saving time and reducing follow-ups.

🧾 Minor Accounting Bug Fixes

We’ve also resolved several minor accounting bugs, improving reliability and accuracy across your financial workflows.

You can now access a suite of new reports—available in both bar chart and table formats—to help you monitor key metrics at a glance:
  1. Funds Receipted Report
    Track all incoming payments into Property Management, helping you stay on top of income across your portfolio.
  2. Funds Paid Out Report
    View all outgoing payments, making it easier to manage landlord and supplier disbursements.
  3. Tenancy Status Report
    See how many tenancies are at each stage: Instruction, Marketed, Offer Accepted, and Moved Into Occupation.
  4. Tenancy Type Report
    Understand your tenancy mix with counts of Fixed, Periodic, and Transitioning to Periodic agreements.

July Changes

Change Property Owner from Property & Tenancy Pages

You can now change the property owner directly from both the Property and Tenancy action menus. This new option, "Change Property Owner", gives you the flexibility to:
🔍 Select an existing person to become the new owner, or
➕ Create a new person to assign as the owner.

Once selected, the new person will automatically be set as the landlord of the property.

⚠️ Please note: Any existing invoices, maintenance jobs, or rent demands linked to the previous landlord will not be updated to reflect the new owner. These will remain assigned to the original landlord for record-keeping and audit purposes.

Property Management Reports - Working Lists

We’ve introduced Working Lists to help agents manage key property management tasks more efficiently — starting with Rent Reviews, Inspections, and Inventory Appointments.
What’s New?
  1. Interactive Lists: Agents can now tick off or strike through items directly in the system as they complete them — no need to print and manually mark up lists.
  2. Quick Access Links: Each item includes direct links to the appointment, property, and a map view of the location.
  3. Streamlined Workflow: Ideal for agents who previously exported and printed lists for fieldwork — now everything is digital, trackable, and accessible on the go.

Non Residential Landlord Details

That's great news! The recent update to our Property Management (PM) system now supports the storing of Non-Residential Landlord (NRL) details. This enhancement ensures that NRL details are only visible for landlords, streamlining the management process.

This update simplifies the process of managing non-residential landlords, making it easier to keep track of their specific details. By having a dedicated section for NRL information, estate agents can ensure compliance and accuracy in their records, ultimately saving time and reducing errors.

Property Management Reporting

We've just released the second batch of property management reports, focusing on key appointments and enhancing the display for a more streamlined experience.

The first report displays a year's view of rent reviews. The chart is interactive, allowing users to click and navigate directly to the appointment screen displaying the selected rent reviews. However, if the rent reviews span more than one year, the hyperlink will not filter based on date.

The second report provides a year view of all property management-related appointments, excluding rent reviews. The chart is clickable, enabling users to navigate to the appointment screen displaying the selected appointments. Similar to the rent reviews, if the appointments span more than one year, the hyperlink will not filter based on date.

The third report displays a list of inspections due within the next 30 days. It only includes appointments with active tenancies.

These updates are designed to help you manage your properties more efficiently and provide a better service to your clients. The improved efficiency and enhanced user experience from these reports will make it easier to manage and track important dates. With a clear view of upcoming inspections and rent reviews, estate agents can plan their activities more effectively.

Maintenance Job Report

We’ve now released the first version of the Maintenance Job Report to live. This report presents a monthly breakdown of maintenance jobs based on their creation date. Its main purpose is to help letting agents gain insight into the volume and status of maintenance jobs created in the previous month. Over time, this will allow them to track trends and identify any build-up of outstanding jobs.

Important note:  Status updates (e.g., changing a job to "In Progress" or "Completed") are reflected in the month the job was originally created. For example, if a job is created in May and updated in July, the status change will still appear under May in the chart. This approach provides a useful view of outstanding jobs by their creation month.

This is just the first step, and we plan to enhance and expand the reporting capabilities over time. The report  can be added directly to dashboards.

Filtering of the management dashboard 

We have released a change: Added the ability to filter the management dashboard based on tenancies related to a specific branch (defaults to the negs home branch). This update will help estate agents streamline their workflow more efficiently. By setting the management dashboard to default to the negs home agency, agents can save time and reduce the complexity of managing multiple properties, allowing them to focus on providing excellent service to their clients.

All functionalities from the previous document pull-out panel, such as viewing,  making documents private/public, and renaming, are now integrated into this tab. Additionally, you can filter through documents effortlessly.

You are in control:
If you have documents you want to be made available/unavailable to your landlord and/or tenant, you can control this via the Document tab - with a single click. Simply making a document private, makes it available to you the manager and not available on the customer portal to the landlords, guarantors and tenants.  If however, you want to share a Certificate with both the landlord and tenant, simply make the document public: it will now be available to all people associated with the property, with no added stress or manual input.
 

Document Approval Process:

We have introduced a document approval feature, allowing property managers to offset the burden of providing both tenancy documents and/or certificates for the landlord and tenant, while having the confidences and a means to track the status of those documents (pending, rejected or approved): ensuring compliance.  Landlord and tenant  can take full advantage of our customer portal to upload documents and certificates, no need for the property manager to duplicate entry or storing compliance documents in multiple places. Once the document is approved by the property manager, these documents can be made available to all people mentioned on the tenancy without further actions. For example, the landlord uploads  Gas Safety certificate, once approved by the property manager, the certificate is available for viewing and download, by both the tenant and landlord. This streamlines the process of providing necessary documents to both tenants and landlords, improving efficiency, ensuring compliance and reducing administrative workload.

Over the past few weeks, we've released several updates to the customer portal to enhance both the UI/UX and the functionality for managing tenancies. These changes have been made following customer feedback and our aim to simplify and improve our offering. Here are the key improvements:

We are thrilled to announce a new feature in the Dezrez CRM and Property Management solutions. Users can now upload specific document types for Proof of Ownership. This enhancement allows for seamless document management across both platforms.

Withdraw Pre-Tenancy Properties from Property Management

Users can now withdraw a Pre-Tenancy property from Property Management when needed. This provides greater flexibility and control over property status, ensuring that properties no longer proceeding to tenancy can be managed efficiently.

New Report: Section 23/Landlord Revenue Report

We have introduced the Section 23/Landlord Revenue Report within Property Management, enabling users to generate detailed financial reports for landlords. This report simplifies revenue tracking and enhances compliance with financial reporting requirements.

To generate the report, navigate to the Accounting dashboard and select the option from the Actions menu:

Once selected the report will be produced in a CSV format.

Create and View Maintenance Jobs in Property Management

Users can now create and view maintenance jobs directly within Property Management, significantly improving efficiency and saving time. This update allows tenants and landlords to raise job requests, provide details, and upload photos without needing to contact the estate agent or property manager directly.

Once a job is created, a task is automatically sent to the estate agent or property manager, ensuring they are notified and can take the necessary action promptly. This enhancement streamlines the maintenance process, reducing administrative workload and improving response times.

 Tenant & Landlord Utility Readings for Pre-Tenancy

Tenants and landlords can now submit utility readings for a tenancy in the Pre-Tenancy stage via the Anytime customer portal. These readings are then automatically made available to the estate agent or property manager within both Dezrez and Property Management. When utility readings are submitted, a task is automatically generated, notifying the estate agent or property manager.
