To guide users through creating appointments in Rezi, adding attendees, and sending out confirmation emails to clients and team members.
The user says:
“How do I book a viewing in Rezi?”
“Can I add appointments to my Rezi calendar?”
“How do I send viewing details to the buyer/vendor?”
“Can I share meeting invites from Rezi?”
“I need to schedule a valuation for next week.”
From the dashboard or top menu, select “Diary” or “Calendar”.
You can view by Day, Week, or Month, and filter by branch or user.
Click on the desired date and time slot.
Or use the “+ New Appointment” or “+ Add Viewing” button.
Required fields usually include:

| Property | Link to the relevant property if applicable |

| Notes | Optional – visible only internally unless shared |
✅ Linking a Property and a Contact ensures correct logging in Rezi and allows communication templates to auto-fill.
Tick the box to Send Confirmation Email to client/contact.
If integrated, you can also sync this to your Google or Outlook calendar.
📧 The email will include:
Property details
Date and time of the appointment
Contact details for the agent
Any notes if template allows
Click “Save”.
The appointment will appear in your diary, and (if selected) notifications will be sent automatically.
You can revisit any appointment by clicking on it in the diary.
To re-send confirmation or update:
Click the event → Edit → Update & re-send email
To share internally:
Ensure correct users are added as attendees
Their diaries will reflect the appointment immediately

| “Appointment not showing in my diary” | Check date/time and whether the correct calendar (user) is being viewed |

Ask the user for:
Property address or ID
Contact details for the client
Screenshot of the appointment in their diary
What’s missing or not working (e.g. “email didn’t send”)
Escalate to support if:
Appointments repeatedly fail to sync
Email notifications are not being triggered
Permissions prevent appointment creation for certain users
