How to remove or withdraw a property from portals or rezi

How to remove or withdraw a property from portals or rezi

🎯 Purpose

To guide users through correctly withdrawing or removing a property from:

  • 🔹 Public portals (Rightmove, Zoopla, OTM etc.)

  • 🔹 Internal marketing visibility in Rezi

This ensures data integrity and prevents accidental relisting or compliance issues.

🧠 Use This When...

The customer says:

  • “We’ve sold this — can you take it down?”

  • “The property’s no longer available”

  • “We need to remove this from Rightmove”

  • “It shouldn’t be live anymore”

  • “I want to withdraw this property”

🔍 Step-by-Step Checklist

1. 🎯 Confirm What the Customer Wants to Remove

Clarify:

  • ❓ Are they withdrawing it from public portals only?

  • ❓ Or do they want to archive it fully in Rezi?

  • ❓ Is the property sold, let, or withdrawn?

This affects how it's recorded (for compliance, stats, and chain building).

“Just to confirm — is the property sold, withdrawn, or no longer available for marketing?”

2. 🧭 Update the Marketing Status in Rezi

Support them (or guide them) to:

  • Open the property record

  • Go to the Marketing / Status section

  • Change the status to one of the following:

    • Withdrawn

    • Sold STC

    • Let Agreed

    • Let/Sold

    • Archived (if no longer needed in active records)

This change automatically triggers the property to be removed from portals (via the next sync).

“Changing the property’s marketing status to ‘Withdrawn’ or ‘Sold STC’ will remove it from all portals automatically.”

3. ⏱️ Allow Time for Sync (Portals)

Let the customer know:

  • Portal removals usually happen within 15–60 minutes

  • No further action is needed if the status has been updated

“It should disappear from the portals within the next hour — sometimes sooner depending on the portal feed schedule.”

4. 🚨 For Urgent Removals

If there’s legal risk, compliance pressure, or a specific time deadline (e.g., GDPR takedown request or developer instruction):

  • Escalate to 2nd Line to force a manual feed push

  • Or advise the user to manually remove from the portal (if they have portal logins)

“If it’s urgent, I’ll get our technical team to force a manual feed update to remove the property immediately.”

🛠️ Optional Agent Script (if guiding user directly)

“To withdraw the property, head to the Marketing Status section in Rezi and update the status to either ‘Withdrawn’, ‘Sold STC’, or ‘Let’. That will automatically remove the property from all portals in the next feed sync — usually within the hour.”
